Who we are

Our website address is https://a-topos.org. Atopos is operated by Ana Belen Gonzalez Perez, Sole Proprietor, BIN 1001624655, registered in Ontario, Canada.

What personal data we collect and why we collect it

Readers

No account is required to read papers on Atopos. When you visit the site, our hosting provider automatically records standard server log information, such as your IP address, browser type, and the pages you request. We also use Google Analytics to understand how visitors use the site (see “Analytics” below).

Submitters

When you submit work to Atopos, we collect:

  • your email address, for correspondence about your submission
  • your legal name, held confidentially and not published without your consent
  • your authorship declaration (authorship type, display preference, and AI stewardship)
  • the PDF you submit and its metadata

Registered accounts (v1 and later)

When account registration launches in v1, this policy will be updated to cover account data, login records, and payment data. Payment data will be processed by Stripe and will not be stored on Atopos servers.

Anonymous authorship

If you choose anonymous display, your legal identity is held in the Atopos database. It is not published, not sold, and not voluntarily disclosed to any third party.

Anonymous identity is disclosed only in response to a court order from a jurisdiction with legal authority over Atopos operations (Ontario, Canada).

Cookies

Atopos does not use advertising cookies.

If you log in to the site, WordPress will set a temporary cookie to check whether your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser. When you log in, WordPress also sets several cookies to save your login information and screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me,” your login persists for two weeks. If you log out, the login cookies are removed.

Google Analytics sets its own cookies, described in the next section.

Analytics

We use Google Analytics to collect information about how visitors use Atopos. This includes the pages you visit, how long you stay, how you arrived at the site, and general information about your device, browser, and approximate location. Google Analytics uses cookies to distinguish visitors and sessions.

We use this information only to understand and improve the site. We do not use it to identify individual visitors. Google processes this data under its own privacy policy (https://policies.google.com/privacy), and the data may be processed on servers outside Canada, including in the United States. You can opt out of Google Analytics on all websites by installing Google’s opt-out browser add-on (https://tools.google.com/dlpage/gaoptout).

Embedded content from other websites

Pages on this site may include embedded content, such as videos, images, or documents. Embedded content from other websites behaves the same way as if you had visited that website directly. These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with the embedded content.

Who we share your data with

We use the following service providers to operate Atopos:

  • IONOS (hosting provider, Newark NJ, US): server infrastructure and server logs
  • Google Analytics: website usage statistics
  • Zenodo: long-term preservation archive, to which paper PDFs are deposited
  • Stripe (v1 and later): payment processing. Payment data is handled under Stripe’s own privacy policy and never stored on Atopos servers.
  • SendGrid (v1 and later): transactional email delivery

We do not sell personal information.

How long we retain your data

Server access logs are kept by our hosting provider in line with its own retention policies. Analytics data is retained in Google Analytics according to the retention period configured in our account.

Submission records, including rejected submissions, are kept indefinitely as part of the permanent record. Author identity records are also kept indefinitely and held confidentially.

What rights you have over your data

Atopos operates under Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA). We collect personal information only for purposes a reasonable person would consider appropriate in the circumstances.

Under PIPEDA, you may request access to the personal information we hold about you and ask us to correct anything inaccurate. Send requests to help@a-topos.org.

Atopos cannot remove authorship records for papers that have been archived, because the archive is intended to be permanent. You may ask for your display name to be changed to anonymous. Your legal identity in the database will not change.

Where your data is sent

Data is stored on servers operated by our hosting provider in the United States. Analytics data is processed by Google, and archived papers are deposited with Zenodo. Personal information processed outside Canada may be subject to the laws of those jurisdictions, including lawful access by courts and authorities there.

Changes to this policy

Changes to this policy are logged on the Transparency page with the date of each change. For significant changes to how we handle personal information, we will post a prominent notice on the site.
